Kokoro by EntryKode is dedicated to protecting your resident and visitor data while delivering secure, intelligent access management for estates and events. This policy explains what we collect, how we use it, and the choices you have.
Information We Collect
When you use the portal we collect account data (names, email, phone, estate identifiers), authentication metadata, device identifiers, audit logs from guard consoles, and any content you upload such as visitor lists, documents, or ANPR images. We also collect usage data (page visits, feature interactions) to keep automations aligned with your workflow.
How We Use Information
Data powers access decisions, authorization flows, analytics dashboards, QR/PIN issuance, and vendor routing. We use it to personalize alerts, troubleshoot issues, improve the platform, and comply with legal obligations (e.g., audits or resident requests).
Sharing and Disclosure
Kokoro never sells your data. We may share it with trusted service providers (e.g., Firebase for identity, analytics vendors) under confidentiality agreements and when legally required (law enforcement, regulatory requests). Aggregated or anonymized data may also be shared to highlight platform trends.
Your Choices
Residents and admins can edit their profiles, adjust notification preferences, and close accounts. Marketing communications can be opted out at any time, and cookie preferences are accessible via the footer modal. You also control which documents undergo OCR or ANPR tagging.
Retention & Transfers
We retain data for as long as your account is active plus 30 days after cancellation to support audits or transitions. Data stored in Firebase and supporting services is encrypted both at rest and in transit and may be transferred across regions to maintain high availability.
